Challenge 1: Uncontrolled AI Execution Risk
AI-generated documents required deterministic outputs and internal validation before client delivery.
Challenge 2: Payment and Workflow Coupling
Orders needed strict linkage between successful payment and document execution without exposing pricing logic inside Zoho Forms.

Solutions Offered
- Building Payment-Gated Intake Architecture
We structured Zoho Forms strictly as a gated intake layer with no pricing logic. Final payable amounts were injected as read-only values, while Stripe executed payment externally.
- Order creation inside Zoho CRM triggered only after confirmed payment success, ensuring one payment mapped to one immutable order record.
- Stripe Audit & Financial Traceability
We wrote Stripe Payment Intent IDs, pricing metadata, currency, and transaction details back into Zoho CRM.
- This ensured full financial auditability without exposing pricing logic inside the Zoho ecosystem.
- CRM-Centric Order Orchestration
We further engineered the Zoho CRM Orders module as the system of record and workflow controller.
- The module was built to be state-driven, SLA-aware, regeneration-aware, and immutable once paid, with guarded transitions across Draft, Review, Regeneration, Final Approval, and Delivery.
- Deterministic AI Execution Model
We implemented server-side AI execution using Deluge to prevent prompt exposure or unsafe client-side logic.
- A structured aggregate field combined only non-null CRM inputs before AI invocation, ensuring predictable and controlled outputs.
- Template-Driven Generation & Version Control
Integrated Zoho Writer using template IDs stored in CRM to trigger deterministic merges.
- Drafts and regenerated versions were stored in structured Zoho WorkDrive folders, with final approval, locking outputs to prevent overwrites.
- Internal Review Governance & SLA Control
Lastly, we implemented state-guarded internal actions for approval, regeneration, and client information requests.
- SLA tracking initiated at payment, paused during client input states, and generated pre-breach and breach alerts. Explicit error states prevented silent failures.
