Challenge 1: Slot Allocation Without Enforcement 

Participants selected service slots digitally, but there was no binding mechanism to ensure only allocated individuals accessed specific services. 

Challenge 2: Multiple Entry Counters with No Unified Control 

Each service operated from separate checkpoints, making centralized validation difficult. 

Challenge 3: No Real-Time Participation Metrics 

Attendance figures were compiled post-programs, limiting operational decision-making during execution. 

Challenge 4: Duplicate or Cross-Service Access Risk 

Without scan-state tracking, credentials could potentially be reused or misapplied. 

Solutions Offered 

  1. Enforcing Service-Wise Slot Limits at Registration

First, we configured Zoho Forms to dynamically restrict registrations based on predefined service and time-slot capacities. 

 

  1. Structuring CRM as the Central Validation Authority

Next, implemented a structured participant record system within Zoho CRM to maintain approved services, slot allocations, booking references, and service-level attendance states. 

  1. Generating Service-Bound QR Credentials

Used Zoho Creator to generate QR codes mapped directly to CRM records, ensuring service-aware validation at scan time. 

 

  1. Deploying Unified Scan Logic Across Distributed Counters

Implemented centralized validation logic across separate Satsang, Bus, Meditation, and Prasadam scanning interfaces to verify eligibility, timestamp entry, and prevent duplicate scans. 

 

  1. Enabling Real-Time Attendance Monitoring

And lastly, pushed validated scan data into Google Sheets for live service-wise participation tracking and operational visibility.
