About The Client 

Art of Living is a global non-profit organization focused on human development through education, wellness, and community service.  

Their programs include STS, LTS, and internship engagements, involving volunteers, interns, and residents in multiple operational domains such as HR, medical, housing, security, and finance. 

Challenges Faced 

Challenge 1: Limited Department Visibility
Housing, Medical, Security, and Finance could not track applicant status in real time. 

Challenge 2: Compliance & Audit Gaps 

HR lacked a centralized system to maintain records or enforce audit trails. 

Challenge 3: Inefficient Offboarding & Transfers 

Exit and transfer procedures were manual, inconsistent, and time-consuming. 

Challenge 4: Applicant Experience Gaps 

Applicants and volunteers had little visibility into their status, leading to confusion and repeated follow-ups. 

Solutions Offered 

  1. End-to-End HRMS Architecture Design

We designed and developed a centralized HRMS on Zoho Creator to manage the complete applicant lifecycle across STS, LTS, and internship categories. 

  1. Digital Application & Category-Based Intake System

Next, we implemented structured online application forms (Roopantaran) within Zoho Creator to capture applicant data directly into the HRMS database. 

  • Category selection logic ensured STS, LTS, and internship workflows followed defined processing paths from the first submission. 
  1. HR Screening Dashboard with Interaction Tracking

Further, we configured a centralized HR dashboard with integrated calling functionality to manage screening workflows. 

  • Call remarks, interaction history, and stage transitions (Applied → Called → Profile Creation → Form A → Family Consent) were recorded and preserved within the system. 
  1. Structured Profile Creation & Applicant Self-Service Portal

We implemented controlled profile creation using existing application data to eliminate duplicate entry. 

  • Applicants received login credentials to access a dashboard where they could view status, upload documents, and track progress securely. 
  1. Form A & Form B Progressive Data Collection Framework

We designed a staged data capture system where Form A and Form B collected incremental personal, background, qualification, and medical information. 

  • HR approval checkpoints were embedded before progression, ensuring data validation and structured advancement. 
  1. QR-Based Entry & Security Validation

We implemented system-generated QR codes for approved applicants, enabling real-time status verification at entry points. 

  • Security teams validated entry through Zoho Creator, and temporary identification validity periods were controlled within the system. 
  1. Medical Evaluation & Clearance Module

A dedicated medical admin module was configured for clinical review and doctor approvals. 

  • Medical decisions were recorded directly in the HRMS, making clearance mandatory before full onboarding progression. 
  1. Housing Allocation & Identification Tag Management

We implemented a housing management module allowing room allocation, reassignment, and real-time database updates. 

  • Tag management supported temporary, paper, and plastic IDs with configurable validity periods, editable issuance, bulk printing integration, and audit logging.
  1. LTS Financial Workflow & Approval Chain

For Long-Term Seva participants, we implemented a structured financial data module capturing salary, banking, and documentation details. 

  • Approval routing followed HOD → Admin → CAO → Finance workflows, ensuring structured financial governance before payroll processing. 
  1. Centralized Governance, Audit Trails & Workflow Controls

We implemented complete action logging across modules, capturing user identity, timestamps, previous values, and updated records. 

  • HR-controlled movement across stages, step reopening, edit permissions, and operational reassignment were embedded to maintain controlled flexibility. 
  1. Reporting, Notifications & Attendance Automation

We configured automated notifications via email and WhatsApp integration within Zoho Creator. 

  • Comprehensive reporting modules were built to track applicant pipeline, medical status, housing utilization, onboarding progress, leave analytics, and exit statistics. 
  • Pre-joining attendance initialization logic and exit consistency rules were automated within the system. 
  1. Offboarding, Transfers & Clearance Management

And lastly, we designed structured workflows for exit, transfer, department change, and trust change requests. 

Clearance routing across finance, housing, security, asset management, and HR was implemented, along with automated generation of NOC, experience certificates, and clearance documentation.
